Outing Best Practices
People play in a golf tournament for a few key reasons:
- They support you, your organization, or your cause.
- They want to play a course they usually would not play.
- Your prizes are substantial and they feel they have a chance to win.
Tips to Fill Your Field (144 Players)
Form a committee of nine people. If each member is responsible for only four foursomes, you will have a full field of 36 teams (144 players).
- You: Make the final decisions.
- Honorary Chairperson: A local leader or public figure who supports your cause.
- Logistics Chairperson: Coordinates day-of details.
- Volunteer Chairperson: Recruits volunteers for check-in, contests, and support.
- Prize Chairperson: Requests donated prizes and raffle items from local businesses.
- Golf Course Intermediary: Works with course staff on arrangements and fees.
- Treasurer: Collects entry fees and manages finances.
- Sponsorship Chairperson: Secures sponsors for carts, meals, contests, and hole sponsorships.
- PR Chairperson: Promotes the event, manages invitations, and supports media outreach.
Planning Tips for a Great Event
- Start planning at least nine months prior to your event.
- Acknowledge all sponsors with signs, banners, announcements, and handouts.
- Do not significantly overcharge golfers. Sponsors should generate the majority of revenue.
- Keep the post-outing dinner and awards to 90 minutes or less.
- Use on-course contests like longest drive, closest to the pin, and straightest drive.
- Consider additional fundraising options such as mulligan packages, raffles, silent auctions, and 50/50 drawings.
- Provide pairings and the guaranteed number of players to the course at least seven days prior to the event.
